Share your destination, approximate dates, number of travellers, budget range, and any preferences β€” hotel category, activities, dietary requirements, or any special occasion. The more detail you give, the better your quotation.

Quotation β€” We Craft Your Package

Within 4–24 working hours, your Holiday Vibez travel specialist will send a detailed, personalised quotation by email. This includes a full itinerary, itemised inclusions and exclusions, hotel details, flight options, visa information, and the package price per person. Quotations are valid for 24–48 hours (as availability and airline fares change continuously).

Acceptance β€” You Confirm the Quotation

Review the quotation carefully. If you are happy with the package, reply to confirm verbally or in writing. At this stage, you may request changes β€” hotel upgrades, activity additions, date adjustments β€” before proceeding. Do not pay the deposit until the itinerary is exactly as you want it, because changes after payment may incur amendment fees.

Deposit Payment β€” We Hold Your Booking

Once you confirm the quotation, we will share payment details for the deposit (typically 25–50% of the total package price). The deposit must be paid within the quotation validity window to hold availability. Paying the deposit does not yet issue your Booking Confirmation β€” that comes after we verify the payment.

Booking Confirmation β€” Your Contract

Once deposit payment is verified, we issue your official Booking Confirmation by email within 1 working day. This document contains your booking reference number, confirmed itinerary, inclusions and exclusions, balance due date, traveller details, and all relevant terms. The Booking Confirmation is your binding contract with Holiday Vibez.

Balance Payment & Document Submission

Pay the outstanding balance by the date stated in your Booking Confirmation (typically 30–60 days before departure). Simultaneously, submit all required traveller documents β€” passport copies, photographs, and any supporting documents for visa applications. Delays in document submission can delay visa processing and jeopardise departure.

Travel Documents Issued

Once full payment is received and all documents are in order, we issue your complete travel pack β€” airline tickets (e-tickets), hotel vouchers, transfer confirmations, tour booking details, and visa copies (where applicable). You will receive these by email, typically 7–14 days before departure. Emergency contacts and 24/7 coordinator details are included.

2.2 Quotation Validity

All quotations issued by Holiday Vibez are valid for 24–48 hours from the time of sending, unless a shorter validity is explicitly stated (which may happen during peak booking periods such as Diwali holidays or summer). This is because:

  • Airline fares change dynamically β€” a fare available today may not be available tomorrow at the same price
  • Hotel availability is real-time β€” popular properties sell out quickly during peak seasons
  • Exchange rates move constantly, affecting international package pricing
Price validity: If a quotation expires and you then wish to proceed, we will requote at current prices and availability. We cannot honour expired quotation prices. To secure a price, pay the deposit within the validity window.

2.3 Quotation vs Booking

A quotation is not a booking. Receiving a quotation does not reserve any flights, hotels, or services. Nothing is held or committed until a deposit is received and a Booking Confirmation is issued. Two customers may receive identical quotations for the same package β€” the one who pays the deposit first secures the booking.

3Booking Confirmation

3.1 What Constitutes a Confirmed Booking

A booking is legally confirmed only when all three of the following conditions are met:

  1. You have reviewed and accepted the quotation (verbally or in writing)
  2. Holiday Vibez has received and verified the required deposit payment
  3. Holiday Vibez has issued a written Booking Confirmation document to you by email
No verbal agreement, WhatsApp message, or phone conversation constitutes a confirmed booking. A booking is confirmed only when you receive a written Booking Confirmation email with a unique booking reference number from Holiday Vibez. Do not make any travel arrangements (purchasing additional tickets, applying for visas independently) based on a quotation alone.

3.3 Errors in the Booking Confirmation

Review your Booking Confirmation carefully upon receipt. If any detail is incorrect β€” traveller names, dates, hotel, inclusions β€” notify us in writing within 24 hours. We will correct genuine errors at no charge within this window. Errors notified after 24 hours may be treated as amendments and attract an amendment fee, particularly if supplier commitments have already been made.

4Deposit & Payment Terms

4.2 Balance Payment

The balance of your package price (total price minus deposit) is due on the date specified in your Booking Confirmation. This is typically:

  • 60 days before departure for standard international packages
  • 75–90 days before departure for premium or Maldives packages
  • At time of booking for last-minute departures within 30 days
Late payment: If the balance is not received by the due date, Holiday Vibez reserves the right to cancel the booking and apply cancellation charges as per our Cancellation Policy. We will send a reminder 7 days before the due date, but it is your responsibility to pay on time regardless of whether a reminder is received.

4.3 Accepted Payment Methods

🏦 Bank Transfer (NEFT / RTGS / IMPS)

Preferred method for large amounts. Bank details provided in your invoice. Please share UTR number after transfer so we can verify promptly.

Accepted for payments up to β‚Ή1,00,000 per transaction. UPI ID provided on invoice. Screenshot of successful payment required for confirmation.

πŸ’³ Credit / Debit Card

Accepted via our secure payment gateway (Razorpay or equivalent). A processing fee of up to 2% may apply for card payments.

πŸ’΅ Cash

Accepted only for amounts up to β‚Ή2,000 in compliance with Indian income tax regulations (Section 269ST). Cash is not accepted for package payments above this limit.

4.4 Payment Receipts

A payment receipt and updated invoice will be issued by email within 1 working day of every payment received. Please retain all receipts. If you do not receive a receipt within 2 working days, contact us immediately β€” do not assume payment has been received.

5Lead Passenger Responsibilities

The lead passenger is the person who makes the booking β€” whose name appears first on the Booking Confirmation and who is the primary point of contact with Holiday Vibez throughout the booking journey.

5.1 Authority and Responsibility

By making a booking, the lead passenger confirms they:

  • Are 18 years of age or older
  • Have the legal authority to make the booking on behalf of all travellers in the group
  • Have informed all other travellers in the group of these Booking Policy terms and all relevant Holiday Vibez policies
  • Have obtained consent from all travellers (and parents or guardians of any minor travellers) to share their personal data with Holiday Vibez for booking purposes
  • Accept these terms on behalf of the entire group β€” every traveller is bound by these policies

5.2 Communication

All booking-related communication is conducted exclusively with the lead passenger. Holiday Vibez will not deal separately with individual travellers in a group unless the lead passenger explicitly authorises this in writing. It is the lead passenger’s responsibility to relay all information β€” itinerary changes, payment requests, document requirements β€” to other members of the group.

5.3 Financial Responsibility

The lead passenger is financially responsible for the entire booking β€” including the full package price, any amendment fees, and any cancellation charges β€” regardless of individual arrangements within the group. If a group member does not pay their share, the lead passenger remains liable to Holiday Vibez for the full amount.

6Passenger Information Requirements

Accurate passenger information is critical for airline ticketing, visa applications, hotel reservations, and transfer bookings. Errors in this information can cause check-in problems, airline boarding denials, and visa rejections β€” all of which are the customer’s responsibility.

Name accuracy is critical: Airline tickets are issued in the exact name provided. If a name is incorrectly spelled and the airline does not permit correction, a new ticket may need to be purchased at the current fare. This cost is always the customer’s responsibility. Always provide names exactly as they appear in the passport β€” including middle names if required by the airline.

6.2 Document Submission Deadlines

Documents must be submitted by the deadlines stated in your Booking Confirmation. Late document submission can delay visa processing and, in the worst case, may result in you being unable to travel. Holiday Vibez is not responsible for delays caused by late document submission.

7Package Customisation

Every Holiday Vibez package can be customised to your preferences. We specialise in building bespoke itineraries β€” no two trips are identical. Here is what you can customise and how:

βœ… Hotel Category

Upgrade or downgrade the hotel category. We can quote 3-star, 4-star, 5-star, boutique, and ultra-luxury options for most destinations. Simply ask for alternatives in your quotation discussion.

βœ… Travel Dates

Flexible on dates before confirmation β€” we can show you pricing across multiple date options to find the best fare and availability combination.

βœ… Add-On Activities

Add skydiving, hot air balloon, private yacht, spa packages, desert safaris, cooking classes, or any other experience to any itinerary on request.

βœ… Meal Plans

Switch between room-only, breakfast-only, half-board, or all-inclusive. Jain food, vegetarian, vegan, halal, and other dietary requirements accommodated on request.

βœ… Private vs Group

All transfers and tours can be arranged as private (exclusively for your group) or shared (with other travellers). Private options cost more but offer complete flexibility.

βœ… Special Occasions

Birthday decorations, anniversary cake, honeymoon rose petal setup, surprise arrangements β€” all organisable in advance. Please request at time of booking.

⚠️ After Confirmation

Customisation requests after the Booking Confirmation is issued attract an amendment fee (β‚Ή1,500/person) plus any supplier charges. Some elements (non-flexible flights) cannot be changed after ticketing.

⚠️ Destination-Specific Limits

Some customisations are limited by destination infrastructure β€” e.g. certain Maldives atolls do not have airport connectivity, or specific hotels may not offer Jain meal options. We will confirm feasibility before quoting.

8Group Bookings

Holiday Vibez specialises in group travel β€” family holidays, friend group trips, corporate offsite travel, school tours, and wedding destination groups. Special terms and benefits apply for groups of 8 or more travellers.

8.1 Group Booking Benefits

  • Dedicated group travel specialist assigned to your booking from enquiry to return
  • Group discount pricing β€” the larger the group, the better the rate
  • Flexible payment schedule β€” staggered deposit and balance payments possible for large groups
  • Complimentary place policy β€” for every 15 paying passengers, 1 complimentary place may be offered on select packages (subject to quotation)
  • Private transfers and group-exclusive tour vehicles arranged as standard
  • Group documentation coordination β€” we manage the collective document collection process

8.2 Group Booking Procedure

For groups of 10 or more, contact us by phone or email for a dedicated group quotation. Please provide:

  • Estimated group size (final number can be confirmed later)
  • Destination and approximate dates
  • Budget range per person
  • Purpose of travel (family holiday, corporate, wedding, etc.)
  • Any specific requirements (dietary, accessibility, special activities)

8.3 Group Payment Responsibility

Group bookings are taken under a single lead passenger who is financially responsible for the entire group. Individual payment arrangements within the group are the group’s own matter β€” Holiday Vibez deals only with the lead passenger for all payments and communications.

Minimum group sizes apply to certain packages. If the group falls below the required minimum after booking, pricing may be adjusted. We will always discuss this risk at the time of quoting and build appropriate protections into the group booking structure.

9Last-Minute Bookings

We accept bookings for departures within 30 days, subject to availability. Last-minute bookings require:

  • Full payment (100%) at time of booking β€” no deposit-and-balance split for departures within 30 days
  • Immediate document submission β€” all passport copies, photographs, and visa documents within 24 hours of booking
  • Visa feasibility check first β€” some destinations have visa processing times of 5–15 working days. We will confirm visa feasibility before accepting a last-minute booking. If the visa cannot be processed in time, we will not accept the booking.
Price note: Last-minute packages are often priced higher than advance bookings due to airline availability and hotel rack rates. The best prices are always secured 60+ days before departure. We strongly recommend planning early for the best value.

For very last-minute bookings (within 7 days of departure), visa issuance may not be possible for many international destinations. Please contact us immediately by phone for a real-time feasibility assessment before proceeding.

10Booking Amendments

10.1 Amendment Fee

Changes to a confirmed booking after the Booking Confirmation is issued attract a Holiday Vibez amendment fee of β‚Ή1,500 per person per change, in addition to any charges levied by airlines, hotels, or other suppliers as a result of the change.

10.3 Amendment Request Process

All amendment requests must be submitted in writing by email to holidays@holidayvibez.com with your booking reference. We will confirm feasibility and cost within 2 working days before proceeding. No amendment is actioned until you confirm the cost in writing.

Every Booking Confirmation explicitly lists inclusions and exclusions. As a general guide:

  • Personal expenses β€” shopping, souvenirs
  • Meals not specified in itinerary
  • Alcoholic beverages (unless all-inclusive)
  • Tips and gratuities to guides and drivers
  • Optional excursions and add-ons not booked
  • Excess baggage charges
  • Airport departure taxes levied at destination
  • Costs due to delays or force majeure
  • Room upgrades at hotel (unless pre-booked)
  • International roaming / data charges
When in doubt about what is included, ask us in writing before confirming the booking. We will always answer clearly and update the quotation if needed. Assumptions about inclusions that are not confirmed in writing are not binding on Holiday Vibez.

12Your Booking Do’s & Don’ts

To ensure your booking goes smoothly from confirmation to return, here is a practical guide:

  • Read your Booking Confirmation carefully and raise errors within 24 hours
  • Save your booking reference number β€” use it in every communication
  • Pay your balance on or before the due date
  • Submit all documents by the deadlines stated
  • Check passport validity well in advance β€” renew if expiring within 6–9 months of travel
  • Purchase travel insurance as soon as you pay the deposit
  • Apply for visas as early as possible β€” never leave it to the last week
  • Inform us of any dietary, medical, or accessibility requirements at booking
  • Arrive at airports with the time recommended by the airline (typically 3 hours for international)
  • Contact us immediately if anything goes wrong during the trip β€” don’t wait until you are home
  • Share your Holiday Vibez coordinator’s WhatsApp number with a trusted family member at home

  • Don’t assume a booking is confirmed without receiving the Booking Confirmation email
  • Don’t book connecting travel (domestic flights, trains) until your main booking is confirmed
  • Don’t cancel or change individual components (flights, hotels) directly with the supplier without informing us first
  • Don’t miss the balance payment due date β€” it can trigger cancellation charges
  • Don’t leave document submission to the last minute
  • Don’t travel without travel insurance β€” the cost of medical emergencies abroad far exceeds any premium savings
  • Don’t make assumptions about what is included β€” ask us in writing
  • Don’t share your booking reference or confirmation with third parties
  • Don’t ignore communications from Holiday Vibez regarding your booking
